Toastmaster Meeting App

User Manual · Version 1.0 · Southern Dutchess Toastmasters

This app helps you run two of the most important roles at a Toastmasters meeting — Timer and Ah-Counter — from your phone or tablet. No login, no internet required, no fuss.

Your Data — Private by Design

Everything this app stores — your speaker roster, filler word list, and meeting logs — lives on your device only. Nothing is sent to a server or stored in the cloud. That means your club's data stays completely private.

The tradeoff is that your data is tied to the specific browser and device you use. A few things to be aware of:

Best practice: Pick one browser on one device as your "home" for the app and stick with it. Use the Backup feature in Settings regularly — especially at the end of each meeting season — so you can always restore your roster and settings if needed.

The Backup file includes your full speaker roster, filler word list, and meeting logs. You can use it to transfer your setup to a new device or share your roster with a co-officer.

1. Getting Started

Open the app in any browser and you'll see two tabs at the top: Timer and Ah-Counter. Tap the tab for the role you're filling today.

Tip: On iPhone, tap Share → Add to Home Screen to install the app as a shortcut. It will open full-screen like a native app.

2. Timer

The Timer tracks how long each speaker has been talking and signals when they hit their green, yellow, and red light thresholds.

Starting a Timer

  1. Tap New Timer from the Timer menu
  2. Type the speaker's name or tap their name from the roster list below
  3. Tap the role preset that matches what they're doing
  4. Tap START

Color Cues

The screen background changes color as the speaker reaches each threshold:

During Timing

Tip: Tap CANCEL to exit the timer without saving anything. Tap COMMIT & EXIT to save the final time to the meeting report.

3. Ah-Counter

The Ah-Counter tracks filler words used by each speaker — AH, UH, UM, ER, SO, LIKE, YOU KNOW, and the Word of the Day.

Setting the Word of the Day

Before tracking, tap Word of the Day from the Ah-Counter menu and enter today's word. It will appear at the top of the tally grid with a gold highlight so you can easily track it separately.

Starting a Session

  1. Tap Start Tracking from the Ah-Counter menu
  2. Type or select the speaker's name
  3. Select their role (Ah Counter, Speaker, Grammarian, etc.)
  4. Tap START

Counting Filler Words

Saving Results

When the speaker is done, tap SAVE RESULTS. The counts are added to the meeting report. If the same speaker speaks again later in the meeting, their new counts will be added to their existing totals — not overwritten.

4. Meeting Report

The Meeting Report collects all timed sessions and filler word counts in one place. Tap Meeting Report from either menu to view it.

5. Speaker Roster

The app remembers your club's regular speakers. The first time you type a name and tap Add, it's saved to the roster permanently. Next time, just type the first few letters and tap their name from the filtered list.

6. Settings

Markdown Export

When enabled, the Meeting Report formats as a Markdown table — perfect for pasting into Slack, email, or Discord. When off, the report is plain text.

Backup Data

Exports your speaker roster, filler word list, and meeting logs to a JSON file. Use this to:

Restore Data

Import a previously exported JSON backup file. Your roster, filler words, and logs will be restored. The app will reload automatically after a successful import.

Clear Meeting Data

Resets all session logs from the current meeting. Your speaker roster and filler word list are not affected — only the timing and filler count records are cleared. Use this at the start of each new meeting.

7. Filler Word Management

The default filler words are AH, UH, UM, ER, SO, LIKE, and YOU KNOW. You can customize this list:

Tip: The Word of the Day is tracked separately and changes each meeting. It does not permanently replace your filler word list.
